Terms of use

The short version. Use SimplHR to run your own team, fairly and lawfully. Tell your staff what the app records. Your business records belong to you. Paid plans are billed and cancelled through the App Store or Google Play.
1. Agreeing to these terms
By creating an account or using SimplHR, you agree to these terms and to our privacy policy. If you're creating an account for a business, you confirm that you're allowed to agree on its behalf.
2. Who can use SimplHR
Owners must be at least 18 and use SimplHR for a real business. Staff accounts are created by an owner. Staff use SimplHR under their employer's direction and these terms.
3. Your responsibilities as an owner
- Tell your staff that SimplHR records punch times and locations, visits, requests and receipts, and why you use it.
- Get your staff's consent where the law in your country requires it.
- Use the records fairly and follow the employment and privacy laws that apply to you.
- Send each employee ID and temporary PIN only to the person it belongs to.
- Keep the information you enter accurate.
4. Your responsibilities as a user
Everyone who uses SimplHR agrees not to:
- share their PIN or sign in as someone else
- fake a location or tamper with punch records
- try to access another business's data, or to break, overload or copy the app
- upload anything unlawful, or anything that isn't a receipt, to an expense claim
5. Plans and payment
- The Free plan costs nothing and has no time limit. Paid plans let you add more staff and clients.
- Paid plans are subscriptions bought through the App Store or Google Play. They renew automatically until you cancel in your store account settings.
- Prices are shown in the app before you buy. Refunds follow Apple's or Google's refund rules.
- If you move to a smaller plan, nothing is deleted. You can't add more staff or clients until you're within the new limits.
- If we change prices, the change applies from your next renewal, and your store will tell you in advance.
6. Your data
The records you and your staff enter belong to your business. You give us permission to store and process them only to provide SimplHR. You can export reports at any time, and you can delete your account and data as described on the delete your account page.
7. Availability and changes
We work to keep SimplHR available and your data safe, but we can't promise it will never be interrupted. The app needs an internet connection and location services to record punches. We may improve, change or remove features. If a change significantly reduces what a paid plan includes, we'll tell you first.
8. Suspending or closing accounts
You can stop using SimplHR and delete your account at any time. We may suspend or close an account that breaks these terms or puts other users at risk. Unless it's urgent, we'll contact you first and give you a chance to export your records.
9. Responsibility
SimplHR is a record-keeping tool. Decisions about pay, leave and employment are yours. SimplHR is provided "as is". To the extent the law allows, we're not liable for indirect or consequential losses. Our total liability to you is limited to the amount you paid us in the 12 months before the claim. Nothing in these terms limits rights you have under consumer law that can't be excluded.
10. Changes to these terms
If we change these terms, we'll update the date above. For significant changes, we'll let owners know before they take effect. If you keep using SimplHR after that, you accept the updated terms.
